Data deletion

Email support@refunddock.com from your work address with the subject "Delete my data". A staff member verifies the request and then deletes your uploaded files and everything derived from them (shipments, charge lines and audit findings), and destroys the organization's encryption key, which makes stored copies unreadable. If a claim or a fee exists we keep only the records those rest on (the findings on a claim with their shipment and charge lines, signed agreements, fee and invoice records); they lose payer names, ZIP codes and file names, and we will tell you what we kept. Our audit log is kept but holds no email addresses, payer names or file names. Encrypted backups of our database are destroyed after 30 days. Until then a backup made before your deletion can still contain your encrypted key, so we never restore a deleted customer's data, and after any restore we repeat every deletion made since the backup. We aim to complete deletion within 30 days and to confirm it in writing.

Automatic deletion

Without any request from you: a free-audit request that no one has verified or used is deleted after 14 days, together with its uploaded file; a file we could not read is deleted after 7 days; the original invoice file is deleted 90 days after upload when you have no open claim with us, and in every case after 13 months, while the findings derived from it stay with your account until you ask for deletion.
