Who is responsible
The controller of the data described here is RefundDock, a trade name of Blake Bovenkamp, sole proprietor, Washington.
What we collect
- Contact details you give us (name, work email, company)
- Carrier invoices and shipment exports you upload, which may include recipient names and addresses
- Usage and security logs
- If you arrive through a partner link (?ref=), a first-party cookie named rd_ref holds the partner code for 30 days so the introduction can be attributed. We use no advertising cookies, tracking pixels or third-party scripts
What we do not collect
Carrier passwords, bank account credentials or card numbers. Please never send them.
How we use data
To audit your charges, prepare claims you authorize, bill our fee on credits received, operate and secure the service, and communicate with you. We do not sell your data.
Sharing
With carriers only as needed for claims you authorize; with the infrastructure providers that host and store the service's data on our behalf (they apply their own terms to us; we have no separate data-processing agreements with them yet); when legally required.
Retention and deletion
Files you upload are kept only as long as they are needed. Automatically: a free-audit request that nobody has verified or used for 14 days has its uploaded file and data deleted; a file we could not read is deleted after 7 days; the original invoice file of a finished audit is deleted 90 days after you upload it if you have no open claim with us (and in any case after 13 months), while the findings we derived from it are kept. See Data deletion.
