UPS invoice audit: what to check, and by when
A UPS invoice audit compares each charge with UPS's written terms and with the shipment details on the same invoice. Here is what that covers, the deadline that matters most, and where the limits are.
Carrier rules on this page are as of 2026-10-29. Carriers change their terms, and some passages could only be confirmed from search excerpts of the official pages. Where a rule is marked "check the current carrier terms", we could not confirm it. RefundDock is independent and not affiliated with UPS or FedEx. Nothing here promises any refund or amount.
What a UPS invoice audit covers
A UPS invoice audit looks for charges that contradict either UPS's own invoice data or a written UPS term. It is not a re-pricing exercise. Negotiated agreements override published terms, so a rate that looks high against a list price is not, by itself, an error.
The 180-day adjustment window
UPS's 2026 U.S. terms say that adjustment requests for an incorrect rate, billable weight, account number, failure to tender, or duplicate payment must be received within 180 days of receiving the contested invoice, or any billing dispute is waived. Requests go through Billing Center, ups.com billing support, or mail, and should include the ship date, tracking number and reason. Counting from the invoice date is the cautious way to plan. Our eligibility checker does the date arithmetic.
Charges worth a second look
- Duplicate lines. The same charge, with the same amount, twice on one tracking number and no offsetting credit. Rule out legitimate repeats first: a second delivery attempt, a return label, multi-piece shipments where child packages share a lead tracking number, and a credit that already sits on an invoice you have not opened.
- Additional Handling together with a Large Package surcharge. The UPS terms excerpt we reviewed says an Additional Handling charge will not be assessed when a Large Package Surcharge is applied. Source: 2026 UPS Tariff/Terms and Conditions of Service, United States. As of 2026-10-29. Confirmed from search-index excerpts of the official page; read the source before relying on it. Re-read that passage in the current tariff before you dispute.
- Billable weight. UPS bills the greater of actual and dimensional weight, with any fraction of a pound rounded up. The 2026 Daily Rates guide shows a divisor of 139, and a Large Package has a 90 lb minimum. Source: 2026 UPS Rate & Service Guide, Daily Rates; UPS: shipping dimensions and weight. As of 2026-10-29. Confirmed from search-index excerpts of the official page; read the source before relying on it. Contract divisors differ, so use the dimensional weight checker with your own figure.
- Labels that never moved. Failure to tender is a listed adjustment type, and it is the shipper's job to ask. Source: 2026 UPS Tariff/Terms and Conditions of Service, United States. As of 2026-10-29. Confirmed from search-index excerpts of the official page; read the source before relying on it. UPS also describes how to void a shipment yourself. Source: UPS: void a shipment. As of 2026-10-29. - Wrong account. Billing Center offers an "incorrect account billed" reason when you dispute a charge. Source: UPS Billing Center. As of 2026-10-29.
- Residential charges. These are a judgment call. UPS treats an address as residential if it can be construed as either, and the surcharge applies if either the entered or the actual address is residential. Source: 2026 UPS Tariff/Terms and Conditions of Service, United States. As of 2026-10-29. Confirmed from search-index excerpts of the official page; read the source before relying on it. Disputes need shipment-specific evidence.
Filing a dispute in Billing Center
UPS describes the path as: locate the charge, choose Dispute from the Actions menu, and follow the prompts. If the invoice is not in Billing Center, UPS lists a billing support phone line. Disputes are filed one charge at a time. Source: UPS Billing Center. As of 2026-10-29.
Who files matters. UPS may refuse credit or refund requests made by, or based on information obtained from, a party other than the payer. Source: 2026 UPS Tariff/Terms and Conditions of Service, United States. As of 2026-10-29. Confirmed from search-index excerpts of the official page; read the source before relying on it. We did not find a UPS-published form for authorizing a third party to dispute charges, so ask UPS in writing if you plan to use one.
Working from the billing data file
UPS's flat billing file has 250 columns, increasing to 270 as of September 2026. Source: UPS Billing Center. As of 2026-10-29. RefundDock confirms the column mapping by hand on the first UPS file before running any check on it.
Late deliveries: mostly not available right now
UPS says its Service Guarantee is currently active only for Next Day Air Early, Next Day Air, Next Day Air Saver and 2nd Day Air A.M. (plus some international services), and that it remains suspended for all other UPS shipments and services. UPS may suspend or change it at any time. Only transportation charges are refunded, to the payer. Source: UPS Service Guarantee (US). As of 2026-10-29. Confirmed from search-index excerpts of the official page; read the source before relying on it. If your volume is mostly Ground, late-delivery refunds are not currently the place to look. Billing-error disputes are.
How RefundDock approaches a UPS audit
You send one recent invoice or billing data export. We check it against the items above and show each flagged line with the reason, the source and the deadline. Items stay potential until reviewed, and we pursue nothing without your written authorization.
Frequently asked questions
How long do I have to dispute a UPS charge?
The 2026 U.S. terms say adjustment requests must be received within 180 days of receiving the contested invoice, or the billing dispute is waived. Plan from the invoice date to be cautious and check the current UPS terms.
Can I dispute a negotiated rate?
Contract rates, discounts and divisors are agreed between you and UPS, so a difference from published list prices is not an error by itself. Check the charge against your own agreement.
Does UPS refund late Ground packages?
UPS states that its Service Guarantee remains suspended for all services other than a short list of air services. Check the UPS Service Guarantee page for the current list.
Can someone else file a dispute for me?
UPS may refuse requests made by, or based on information from, a party other than the payer. We did not find a UPS-published third-party authorization form, so confirm the process with UPS before relying on it.
