FedEx invoice audit: overcharges, deadlines and disputes
FedEx defines an overcharge broadly, but gives you a fixed window to ask. This guide covers the definition, the deadline, the right data export and the points that trip people up.
Carrier rules on this page are as of 2026-10-29. Carriers change their terms, and some passages could only be confirmed from search excerpts of the official pages. Where a rule is marked "check the current carrier terms", we could not confirm it. RefundDock is independent and not affiliated with UPS or FedEx. Nothing here promises any refund or amount.
What FedEx counts as an overcharge
The FedEx Service Guide defines an overcharge as an incorrect rate, special handling fee, service, weight or account, or any other billing, unrelated to a service failure, that results in an incorrect charge. Source: FedEx Service Guide 2026 (effective Jan 5, 2026). As of 2026-10-29. That definition is wide, which is useful. It also means a request has to explain what was wrong.
The 180-day window
Requests for an invoice adjustment due to an overcharge must be received within 180 days after the original invoice date, or the ship date if the shipment was prepaid by cash, check, money order or credit card. A request must include the account number, tracking number, ship date and the reason. Source: FedEx Service Guide 2026 (effective Jan 5, 2026). As of 2026-10-29.
Two conditions are easy to miss. FedEx is not obligated to refund overcharges if the account is, or has been, more than 60 days past due. And FedEx may itself adjust charges at any time after auditing service, weight or dimensions, so a correction in your favor and a correction against you both follow the same documents. Use the right download
FedEx Billing Online offers invoice downloads in different layouts. For an audit, the "All Columns" export is the useful one, because it carries the fields a review depends on: the service type, the dimensions and the Dim Divisor, the rated and actual weights, the proof-of-delivery date and time, and the original recipient address, which FedEx populates only for address corrections. Negative amounts in these files are formatted with spaces after the minus sign. A tool that reads them as positive numbers turns credits into charges, which is a common reason spreadsheets overstate problems.
Charges worth a second look
- Duplicate charges on one tracking number with no offsetting credit. A reroute appears as an address correction, so one such line can be legitimate. Source: FedEx Service Guide 2026 (effective Jan 5, 2026). As of 2026-10-29.
- Weight. Dimensional weight uses length x width x height, with fractions of an inch rounded up, divided by the divisor, and any fraction of a pound is rounded up. Source: FedEx Service Guide 2026 (effective Jan 5, 2026). As of 2026-10-29. Compare the divisor on your invoice with your contract. A contract divisor beats a published default.
- Address corrections where the corrected address matches the original. See the address correction checklist.
- Residential delivery fee on FedEx International Connect Plus. The Service Guide says these shipments are not assessed a residential delivery fee. Source: FedEx Service Guide 2026 (effective Jan 5, 2026). As of 2026-10-29. By contrast, FedEx Home Delivery is always residential, so a residential charge there is expected.
- Additional Handling where no dimension or weight trigger is met. See the surcharge checklist.
Billing disputes versus Money-Back Guarantee refunds
These are different processes with different clocks. Billing disputes use the 180-day window above. Late-delivery refunds under the FedEx Money-Back Guarantee must be requested within 15 calendar days of the invoice date (or ship date if paid by card or prepaid), and since the policy effective February 12, 2026 only certain services are covered: First Overnight, Priority Overnight, Standard Overnight and 2Day A.M., the Extra Hours variants on contract, and certain international services. FedEx states the guarantee for all other services, including Ground, Home Delivery, 2Day, Express Saver and Ground Economy, remains suspended until further notice. Source: FedEx U.S. Money-Back Guarantee (policy effective Feb 12, 2026); FedEx Service Guide 2026 (effective Jan 5, 2026). As of 2026-10-29.
FedEx also notes it may refuse a request, or status information, that comes from a third party other than the payer.
Filing
FedEx points customers to Billing Online to request a billing adjustment, and invoices are disputed for a whole invoice or a single tracking number rather than in batches. Source: FedEx: who to contact about a billing invoice or dispute; FedEx Billing Online. As of 2026-10-29.

Frequently asked questions
What is the deadline to dispute a FedEx overcharge?
FedEx's 2026 Service Guide says requests must be received within 180 days after the original invoice date, or the ship date if prepaid by cash, check, money order or credit card.
Which FedEx services still have a money-back guarantee?
As of the policy effective February 12, 2026, FedEx lists First Overnight, Priority Overnight, Standard Overnight, 2Day A.M., the Extra Hours variants on contract and certain international services. Others, including Ground and Home Delivery, remain suspended. Check the FedEx page for the current list.
Why does the Dim Divisor on my invoice matter?
It is the number FedEx used to turn package volume into dimensional weight. If it differs from the divisor in your agreement, that is worth raising with FedEx.
Will FedEx refund an overcharge if my account is past due?
The Service Guide says FedEx is not obligated to refund overcharges if the account is, or has been, more than 60 days past due.
